  • Data Protection Declaration for the Application Procedure


    1. General
    BDO AG, Schiffbaustrasse 2, 8005 Zurich, Switzerland (“BDO”) takes the protection of your personal data seriously. This Data Protection Declaration for the Application Procedure (“Declaration”) provides information about how we process personal data during and after the application procedure if you apply for a job at BDO. BDO processes your personal data in accordance with the applicable data protection legislation and the following provisions.


    2. Consent
    BDO does not process your application documents until you have explicitly consented to data processing in accordance with this Declaration. Data processing consent is granted when applying via the jobs portal by releasing your data to us. If your application documents are not submitted via the jobs portal, we will send you this Declaration as well as the consent declaration for signing.
    Your consent to the processing of your personal data within the framework of your application may be revoked at any time. To this end, please write to privacy@bdo.ch, providing official identification.


    3. Use of your personal data
    During the application procedure, in addition to your title, first and surname, we also store standard correspondence details such as your postal address, email address and telephone numbers in our applicant database. Application documents such as your letter of motivation, CV, vocational, educational and continuing training qualifications and references are also entered.
    This data is stored, evaluated, processed and transferred internally exclusively within the framework of your application. It is accessible only to staff in the HR department and the people responsible for selection at BDO. Your data is not passed on to companies or people outside BDO or used for any other purposes.
    The data may also be processed in anonymised form for statistical purposes. This does not enable any connections to be made to individuals.


    4. Obtaining information from third parties
    By naming reference persons, you authorise us to obtain information about your previous employment from them. When recruiting for jobs in sensitive areas in particular, we are authorised to obtain credit reports or other information from the relevant external bodies or providers.


    5. Right of information
    You may request information about which of your personal data is being processed. To this end, please write to privacy@bdo.ch, providing official identification.
    You may access, modify or independently delete your electronic data at any time.


    6. Data storage and deletion
    If you are employed by BDO, your personal data or perhaps a part thereof will be stored in your personnel file.
    If you apply for a job, but your application is unsuccessful, we store your application documents for about three months after the conclusion of the application procedure, at which time they are deleted. However, for the purpose of long-term HR management traceability, we reserve the right to keep a record of your name and correspondence address and the date of your application. You will not be notified about the deletion of data.
    Within the application procedure, you have an opportunity to explicitly consent to longer storage of your application documents. Should BDO assign your application to the talent pool, you will be informed about this. You have the right to revoke your storage consent at any time by deleting the data (profile and application) yourself. If your application is assigned to a talent pool, the data is typically stored for 24 months, after which it is deleted.


    7. Data protection and confidentiality
    BDO has taken the necessary organisational and technical measures to ensure the confidentiality of your application. All the employees in our HR department are forbidden from disclosing personal data within the framework of their employment contract. When processing data, the general standards for data security according to the current state of the art are taken into account.


    8. Cookies
    BDO’s website uses cookies. These are small files that are saved on your computer or mobile end device when you visit or use our website. We use cookies to facilitate various different functions of our website and to be able to offer you the best possible browsing experience.
    Cookies record information regarding usage, such as the date and time when you accessed our website, the name of the web page visited, the IP address of your end device and the operating system used. Most of the cookies we use are temporary session cookies that are automatically deleted from your computer or mobile end device at the end of the browser session. We also use permanent cookies. Depending on the type of cookie, these are stored on your computer or mobile end device for a period of between one month and ten years after the end of your browser session, at which time they are automatically deactivated.


    9. Web analysis and tracking technologies
    We use the following web analysis tools and retargeting technologies in order to obtain information regarding the use of our website, improve our Internet services and to be able to contact you with marketing on third-party websites and social media: Google Analytics, Crazy Egg, Facebook Pixel, Kentico EMS.
    These tools are supplied by third-party providers. The information regarding the use of the website that is gathered for this purpose is generally transmitted to the third-party server using cookies. Depending on the third-party provider, these servers may be situated in another country.
    The data is usually transmitted with the IP addresses abbreviated to prevent the identification of individual end devices. The IP address provided by your browser in this context is not linked to other data of said third-party providers. The information is only passed on by third-party providers on the basis of statutory provisions or in connection with commissioned data processing.
    You can configure your browser to accept all cookies, to notify you every time a cookie is created or to block the acceptance and/or installation of all third-party cookies. You can also manually delete the cookies at any time in your browser settings. Please note, however, that this may prevent you from using all of this website's functions to their full extent.


    10. Social plugins
    Social plugins from third-party providers are used on our website. These plugins can be identified by the logo of the relevant social network. We use the following plugins on our website: Facebook, Twitter, LinkedIn, YouTube and Xing.
    When you access our website, your browser establishes a direct connection with the third-party provider’s servers. The content of the plugin is transmitted directly to your browser by the third-party provider in question, and incorporated into the page.
    The third-party provider stores the data recorded about you as a user profile, which it uses for the purposes of marketing, market research and/or designing its website to meet demand. This kind of analysis is also carried out in particular for users who are not logged in to display demand-based marketing and inform other users of the social network about your activities on our website. We use the plugins to offer you the opportunity to interact with the social networks and other users.
    Data is passed on regardless of whether you have an account with the third-party provider or are logged in there. If you are logged in with the third-party provider, the data we record is allocated directly to your account with the third-party provider. The information is also published in the social network and displayed to your contacts there. Please refer to the data protection notices of the third-party providers regarding the purpose and scope of the recording and further processing and use of the data by the third-party providers as well as your rights in this regard and the settings available to you in order to protect your privacy.
    If you would like to prevent third-party providers from allocating the data gathered via our website to your personal profile in the respective social network then you must log out of that social network before visiting our website. You can completely prevent plugins from being loaded using specialised add-ons for your browser such as Ghostery (https://www.ghostery.com/) or NoScript (http://noscript.net/).
